THE CLIENT

Our client is a well-known Science and Technology agency run by the Australian government—it undertakes leading-edge research, delivers scientific services, and provides specialised advice to government, industry, academia, and also other research organisations.

This agency has a quality management system (QMS) that is certified for compliance with ISO 9001:2015, which spans the activities conducted at its sites within Australia. Adherence with the QMS ensures there is ongoing process improvement, support for business continuity and risk management processes, and also covers the management of its document and records management system.

 

THE OPPORTUNITY

This is a full-time role hosted by the agency and contracted through a third-party. This contract will be for up to 36 months of ongoing employment. An opportunity that provides an ideal scenario for an experienced professional to work at one of the nation’s premier research facilities: the Australian Synchrotron (AS).

You must be an Australian citizen to be eligible for this role.

CS Executive Group is seeking a self-motivated professional to join the existing Quality and Risk team based at the AS site in Clayton. The responsibilities associated with this Quality Coordinator role are: –

  • Conduct inspections and checks, and internal audits, so as to identify any need for improvement and/or corrective action, and also support surveillance, certification, and other audits of the AS site;
  • Manage quality investigations using an electronic reporting system, which includes triaging of incidents, assigning the investigations, reporting of the findings, and ensuring the timely closure of reports;
  • Coordinate the investigation, root-cause analysis, and resolution of audit findings and quality incidents;
  • Coordinate and support the maintenance, review, and development of management system controlled documents (e.g., plans, procedures, process maps, and forms);
  • Manage and administer the software-based document and records management system (DMS) to ensure site-wide business documentation and records are identified, controlled, maintained, and accessible to employees, this encompasses technical and project records;
  • Support and facilitate operational, metric, and compliance reporting according to the agency’s requirements; and
  • Ensure ongoing maintenance and implementation of processes that underpin business continuity and are in alignment with risk management policies.

 

REQUIREMENTS

You must be an Australian citizen and willing to undergo appropriate federal government clearance.

To be considered for this opportunity you shall also need to address the following criteria, as set by the agency: –

  • A tertiary qualification in science, technology, and/or engineering—relevant experience in Information Technology, Information Management, Engineering, or Quality Management shall also be considered.
  • Experience in conducting internal audits and/or a certificate in internal auditing.
  • Familiarity with electronic document & records management systems (EDRMS), preferably within an engineering environment.
  • High level of computer literacy, specifically MS Word & MS Excel, and comfortable with using databases.
  • Adept at problem-solving and possess a keen level of attention to detail.
  • Excellent written and verbal communication skills, especially reporting of quality-related matters.
  • Demonstrated ability to develop then maintain collaborative relationships with internal and external stakeholders.
  • Proven capability to work well as a part of a small team.
  • Able to work with minimal supervision to achieve successful outcomes by being proactive and self-motivated.

 

Desirable

  • Experience working in a regulated environment with a focus on mechanical and/or electrical engineering (e.g., automotive or aerospace industry).
  • A good understanding of ISO 9001:2015 and the requirements for certification to this standard.
  • Experience in the development of flow charts or other process-mapping methodologies.
  • A thorough understanding of risk management.
