Our client is a well-known and highly respected Food Manufacturer. They are part of a global, diversified international group employing over 100,000 employees worldwide. With clarity on future direction and clearly defined values, our client is one of Australia’s and New Zealand’s largest food manufacturers.

 

THE ROLE

This exciting position is based in Regional Victoria, approximately 120kms from Metropolitan Melbourne.  Reporting to the Operations Director, the successful candidate will provide confidential, timely and an efficient level of executive administration support and information coordination to the Operations & Supply Chain Directors.

This role is for an initial 6 month period with a view to permanency.

This is a very large, complex and fast-paced operation and requires someone who is able to step into the role and fulfill the requirements swiftly.  The ideal person will be self-motivated, resourceful and an experienced Executive Assistant with high energy, exceptional communication and organisational skill to support both Directors.

Some responsibilities include:

  • Monitoring and organising Outlook calendars & inbox and responding to emails as required
  • Scheduling and confirming meetings and events
  • Preparation of relevant information and briefs prior to meetings – agendas, reports and meeting notes
  • Diary management including coordinating all aspects of travel
  • Produce reports, correspondence, presentations and spreadsheets
  • Assist with specialised events as required
  • General administration duties and office upkeep
  • Building good business relationships with internal and external stakeholders at all levels whilst maintaining a positive image of the Directors and organisation

 

SELECTION CRITERIA

To be successful in your application you will need to meet the following criteria:

  • Diploma or relevant higher qualification is desirable
  • Relevant experience in providing high level administrative support at a senior level
  • Advanced skills in Adobe & Microsoft Office 365 packages – especially Microsoft Outlook
  • Be a self-starter and have initiative
  • Unquestionable integrity and loyalty
  • Ability to manage up and direct, politely and professionally as required
  • Strong time management and organisational skills
  • High attention to detail
  • Excellent verbal and written communication skills
  • Excellent relationship building skills
  • Be discreet and maintain confidentiality / privacy
