ROLE
Our client requires an experienced, switched-on Executive Assistant to support the CEO.
The successful candidate’s prime responsibility will be to provide executive assistance to the CEO and secondarily, to the executive management team. As our client is a listed company, this role will also provide administrative assistance in relation to Board and ASX matters and ensure an effective general administrative function across the company.
Some of the duties associated with this role include:
Proactively manage the CEO’s diary to ensure timely attendance at meetings
Anticipate and prepare in advance all necessary paperwork for meetings
Manage the CEO’s travel arrangements including managing contingencies to ensure smooth transfers, travel logistics and timely attendance at scheduled meetings
Complete general administration tasks for the CEO including drafting of correspondence, typing/collation of reports, organisation of meetings and catering, expense claims etc.
Manage follow up file for correspondence
Assist with preparation for conferences and presentations, including registration, slides, promotional materials and investor packs, together with Assistant Company Secretary
Support preparation of Board documentation as required including schedule of exec team Board reports, report preparation, arrange catering, arrange travel and parking as required for Directors
Discreetly and appropriately respond to incoming phone calls
Ensure overall effectiveness of corporate administrative services with the assistance of the Administrative Assistant as appropriate
As time permits, provide general administrative support to the HR Manager and other team members as needed
REQUIREMENTS
We are looking for a professional, sharp and proactive Executive Assistant with a high degree of initiative. You will have excellent presentation and your verbal and written communication skills will be exemplary!
To be successful in your application you will need to address the following criteria:
Relevant qualification
Experience working for senior executives in an ASX-listed company is desirable
Professional experience working in a small company will be well regarded, where being the key person and doing everything is familiar territory
Intelligent and articulate, with professional presentation in appearance and interpersonal style
Hardworking and possessing strong work ethic
Proactive and responsive in approach to work
Flexible and down to earth personal style is essential
Excellent teamwork, communication and organisational skills
High level of discretion and used to dealing with confidential and sensitive information
Good level of computer literacy including ability to type and note take with accuracy and excellent attention to detail
